About the Role
As an IA Specialist, you will be the first point of contact for clients, helping them navigate their journey toward mental health and wellbeing. You’ll gather essential information, assess their needs, and ensure they are matched with the appropriate therapist. You’ll also be responsible for confirming bookings, managing transactions, and maintaining accurate records in Jane App. Beyond intake, you’ll play a key role in ensuring that our clinic runs smoothly; stocking supplies, preparing therapy rooms, and keeping everything in working order for each client’s visit.

What You’ll Do
- Welcome clients warmly and conduct intake interviews to assess their mental health needs.
- Help clients select an appropriate therapist based on their unique needs.
- Coordinate and schedule appointments, while managing financial transactions with accuracy.
- Maintain the clinic’s calendar, manage client bookings, and ensure therapy rooms are ready.
- Use the Jane App to track client information and maintain accurate records.
- Collaborate with therapists and administrative staff to ensure seamless client care.
- Ensure office supplies are stocked, and all facilities are functioning smoothly for each client visit.
- Follow up with clients to provide ongoing support and handle any scheduling or service-related concerns.
About You
- You have a passion for supporting individuals on their mental health journey.
- You excel in client service, communication, and thrive in a team-based environment.
- You recognize that actions during your shift directly impact the effectiveness of the next team member. As a result, you collaborate with team members to ensure smooth transitions between shifts.
- You have experience working in a healthcare or mental health setting and are comfortable managing sensitive information.
- You’re organized, detail-oriented, and comfortable using electronic medical records (EMR) systems like Jane App.
- Flexibility to work rotating shifts, including evenings and weekends, is essential.
- You are willing to work part-time.
